Booking Policy
1. Booking and Payment
- All bookings are subject to availability.
- A booking is considered confirmed only after payment has been received and acknowledged by Sankofa Events and Logistics.
- Full payment or the required deposit must be made by the stated deadline.
- Failure to complete payment by the deadline may result in cancellation of the reservation.
2. Cancellation by Participants
- Cancellations made more than 5 days before departure or the event date may be eligible for a partial refund, subject to our Refund Policy.
- Cancellations made within 5 days of departure or the event date may not be eligible for a refund.
- No refunds will be issued for no-shows, late arrivals, missed departures, or unused portions of a trip or event.
3. Cancellation by Sankofa Events and Logistics
- Sankofa Events and Logistics reserves the right to cancel, postpone, or modify any trip or event due to:
- Insufficient participant numbers
- Weather conditions
- Safety concerns
- Government restrictions
- Force majeure events
- Circumstances beyond our reasonable control
In such cases, participants may be offered:
- A full refund
- A credit toward a future trip or event
- An alternative date or itinerary
4. Participant Responsibilities
- Participants are responsible for:
- Providing accurate booking information
- Arriving at designated meeting points on time
- Following instructions from guides and coordinators
- Ensuring they are medically fit to participate in booked activities
- Obtaining any required travel documentation where necessary
5. Assumption of Risk
Participation in tours, hikes, water activities, adventure experiences, and events involves inherent risks. By booking with Sankofa Events and Logistics, participants acknowledge and accept these risks.
6. Travel Insurance
Participants are encouraged to obtain appropriate travel and personal accident insurance where applicable.
7. Changes to Bookings
Requests for booking changes are subject to availability and may incur additional charges.
8. Photography and Media
Sankofa Events and Logistics may take photographs and videos during trips and events for promotional and marketing purposes. Participants who do not wish to appear in such materials should notify us in advance.
9. Liability Limitation
Sankofa Events and Logistics shall not be liable for losses, damages, delays, injuries, or expenses arising from circumstances beyond our reasonable control, including acts of nature, accidents, transportation delays, or actions of third-party service providers.
10. Minimum Participant Requirement
Certain trips and experiences require a minimum number of participants to operate. If the required minimum is not reached, Sankofa Events and Logistics reserves the right to postpone or cancel the trip. Participants will be offered a full refund, travel credit, or the option to transfer their booking to another trip.
11. Agreement
By making a booking, participants confirm that they have read, understood, and agreed to these Booking Policies, Refund Policy, and Terms & Conditions.

Refund Policy
At Sankofa Events and Logistics, bookings involve advance planning and commitments to transportation providers, accommodation partners, activity operators, and other service providers. Therefore, the following refund policy applies:
Participant Cancellations
More than 5 days before departure/event
Eligible for a refund of 80% of the amount paid.
Any non-recoverable costs already incurred on behalf of the participant may be deducted.
3–5 days before departure/event
Eligible for a refund of 50% of the amount paid, subject to supplier commitments and expenses already incurred.
Less than 72 hours before departure/event
No refund will be issued.
No-Show or Late Arrival
No refund will be issued for participants who fail to attend, arrive late, miss departure times, or voluntarily leave a trip or event before its completion.
Transfer of Booking
Participants may transfer their booking to another person up to 48 hours before departure, subject to approval by Sankofa Events and Logistics.
Any additional costs associated with the transfer will be borne by the participant.
Cancellation by Sankofa Events and Logistics
If Sankofa Events and Logistics cancels a trip or event due to operational reasons, insufficient participant numbers, safety concerns, severe weather, government restrictions, or other unforeseen circumstances, participants will be offered:
A full refund, or
A credit toward a future trip or event, or
The option to transfer to an alternative date.
Processing Time
Approved refunds will be processed within 7–14 business days through the original payment method where possible.
Force Majeure
Sankofa Events and Logistics shall not be liable for refunds arising from events beyond its reasonable control, including natural disasters, epidemics, government actions, civil unrest, transportation disruptions, or similar force majeure events. Where possible, participants may be offered a travel credit or alternative arrangement.
This policy is designed to be fair to both our clients and our operational commitments while ensuring we continue to deliver high-quality travel and event experiences.
